Will CAIR2 accept flat file submission for COVID-19 vaccine reporting?
No.
How can sites submit data to CAIR2?
There are 4 options for reporting summarized on the main COVID-19 page.
At registration, we were asked for our ‘IIS identifier’. What is that?
Your immunization information system (IIS) identifier is your local immunization registry ID (e.g. CAIR2 Org Code).
What changes to our EHR are necessary for COVID-19 vaccination ?
Obviously, you will need to make sure that your vendor has updated your EHR to contain the new COVID-19 vaccines so they can be administered and added to patient records. The new vaccines must also be properly mapped to the correct vaccine codes so COVID-19 vaccines send electronically to CAIR2 will be entered correctly into the CAIR2 patient record. For more information of COVID-19 vaccines and the codes that must be used, refer to the CDC Vaccine Code Sets page
What data elements are required for reporting COVID-19 vaccinations
The data elements for reporting COVID-19 vaccinations are the same as for any other vaccine except that providers will be required to report recipient race and ethnicity using the standard HL7 codes below if sending data electronically (from EHR).
Race (PID-10)
Code (PID-10.1) |
Description (PID-10.2) |
Table (PID-10.3) |
1002-5 | American Indian or Alaska Native | CDCREC |
2028-9 | Asian | CDCREC |
2076-8 | Native Hawaiian or Other Pacific Islander | CDCREC |
2054-5 |
Black or African-American |
CDCREC |
2106-3 | White | CDCREC |
2131-1 | Other Race | CDCREC |
Example: |2028-9^Asian^CDCREC|
Ethnicity (PID-22)
Code (PID-22.1) |
Description (PID-22.2) |
Name of Coding System (PID-22.3) |
2135-2 | Hispanic or Latino | CDCREC |
2186-5 |
Not Hispanic or Latino |
CDCREC |
<empty field> | Unknown | CDCREC |
Example: |2135-2^Hispanic or Latino^CDCREC|
Are there any other data elements that that should be sent for COVID-19 vaccine recipients?
Probably the most useful data elements to send in the patient COVID-19 vaccination record are the recipient’s cell phone number and email address. Clinics should begin collecting this information because in the near future, CAIR2 will be using cell phone or email accounts to validate electronic access to patient immunization histories (including COVID-19 vaccination) using mobile devices. Having easy access to COVID-19 vaccination information may become a necessity in the future for travel and other activities.
Who can I contact if I have questions?
If your site enters data manually in CAIR2, contact your Local CAIR Representative.
If your site submits data electronically via an EHR, email CAIRDataExchange@cdph.ca.gov.
